AI use & transparency statement
Digitaltableteur uses AI-assisted tools to enhance our design and development services while maintaining human oversight and accountability. We are committed to transparency about AI usage and compliance with the EU AI Act, GDPR, and emerging AI governance standards. This statement explains how, when, and why we use AI, the safeguards we implement, and your rights.
Our AI principles
Human accountability – Every AI-generated output is reviewed, validated, and approved by a qualified team member before delivery or publication.
Transparency – We document which AI tools are used in each project and disclose this to clients upon request.
Privacy first – Personal data is minimized, anonymized, or excluded from AI prompts. We opt out of provider training programs.
Quality assurance – AI is used as an assistive tool, not a replacement for professional expertise and judgment.
Where AI is used
Design exploration – generating alternative layouts, color palettes, or visual concepts for internal review. All AI suggestions are evaluated and refined by experienced designers before implementation.
Editorial assistance – drafting article outlines, alt text descriptions, meta descriptions, or translation suggestions. All content is fact-checked, edited for accuracy, and approved by a human editor.
Code assistance – generating code snippets, documentation, or refactoring suggestions using GitHub Copilot or similar tools. All code is reviewed, tested, and validated before deployment.
Quality assurance – analyzing anonymized support tickets, error logs, and telemetry data to identify accessibility issues, performance bottlenecks, or user experience improvements.
Website chat – our chat widget uses OpenAI's API to answer visitor questions. Conversations are not stored for training purposes and are retained only as long as necessary.
Where AI is NOT used
We do not use AI for: automated decision-making that affects your rights; high-risk applications as defined by the EU AI Act; final design deliverables without human review; legal, financial, or medical advice; or making hiring or business decisions about individuals.
AI providers we use
We work with the following AI service providers, all of which have data processing agreements and GDPR compliance measures:
OpenAI (ChatGPT, GPT-4) – for chat functionality, content drafting, and code assistance. Data is not used for model training under our enterprise agreement.
GitHub Copilot – for code suggestions and development assistance. Subject to GitHub's enterprise privacy controls.
Anthropic (Claude) – for complex reasoning tasks and content analysis. Compliant with GDPR and EU data protection standards.
All providers process data in accordance with standard contractual clauses or other GDPR-compliant transfer mechanisms. We regularly review vendor practices and compliance.
Data we send to AI providers
We follow strict data minimization principles:
Only necessary prompts – we share only the minimum information required for the specific task
Personal data removed – identifiers are stripped, masked, or anonymized before sending to AI systems
No training opt-in – we configure our accounts to prevent your data from being used to train AI models
Sensitive data excluded – confidential business information, credentials, and personally identifiable information are never sent to public AI services
For website chat: messages you send are processed by OpenAI to generate responses but are not retained by OpenAI for training under our agreement. We store conversation history locally only for the duration of your session unless you explicitly save it.
Governance & safeguards
Human review – every AI output is validated by an accountable team member before being published or delivered to a client. This includes checking for accuracy, bias, and appropriateness.
Data minimization – prompts are truncated, masked, or sampled so that individuals cannot be identified. We apply technical and organizational measures to protect privacy.
Vendor review – we only use providers that offer EU-grade security, data processing agreements (DPAs), and compliance with GDPR and emerging AI regulations.
Monitoring and auditing – we maintain logs of AI usage in client projects and conduct periodic reviews to ensure compliance with our policies and standards.
Team training – our staff receives guidance on responsible AI use, prompt engineering, and identifying AI limitations or biases.
Limitations and accuracy
AI systems can produce inaccurate, incomplete, or biased outputs (sometimes called 'hallucinations'). They lack true understanding and may miss context that humans would recognize. For this reason, all AI-generated content is reviewed by qualified professionals. AI suggestions should not be considered professional advice (legal, medical, financial, etc.) unless explicitly validated by a licensed expert. You should verify any critical information before relying on it.
Your rights
Right to information – you can ask us which AI systems were used in your project or to process your data at any time. We will provide a clear explanation.
Right to object – you may request that we avoid AI-assisted tools in your project. We will confirm feasibility and document the alternative workflow. Some projects may require additional time or cost adjustments.
Right to erasure – if AI tools processed personal data related to you, you can request deletion. Data will be erased in accordance with our retention policies or contractual obligations.
Right to human review – if you believe an AI-generated output adversely affected you, you can request human review and challenge the outcome.
To exercise these rights, email mail@digitaltableteur.com or contact us via the channels listed in the privacy policy. We will respond within one month.
